Looking back I would have replaced some of the sweat equity with working capital from a business loan.
For me it's really hard to have a set rule on this. I'm probably going to follow up 3-4 times. If I feel a potential client is still interested, but circumstances are preventing them from moving forward, I will ask if I can follow up with them again in say 3-4 weeks. Again, it really depends on...

If I feel a potential client is still interested, but circumstances are preventing them from moving forward, I will ask if I can follow up with them again in say 3-4 weeks. Again, it really depends on the feedback you are getting and your feel of the situation. I currently have a potential client I've been talking to for almost a year now. It's for a decent size project. I sat down with him and his wife for about 2 hrs initially and I've spent a decent amount of time on the phone with them over the last year. Delayed funding from a land sale and health issues have played a role in holding up the deal. I'm about 85% confident the project will start. I'm about 95% confident they will choose my company when they do. Not giving up yet :)

When it is time and cost effective for both us and our clients. Example: Many years ago we used to build our own ecommerce software. As ecommerce solutions evolved and competition between ecommerce software companies grew, it didn't make sense for us to compete in the ecommerce space. We were web designers and developers first, search marketers second and arguably ecommerce developers third.
We could no longer offer a product with the features the big ecommerce software companies had, nor could we match the dropping prices for licensing or cloud-based options. We decided to focus on helping our clients choose between the best solutions available and then perform install, customization, training, etc.
By doing this we have been able to continue to profit from the ecommerce side of the industry, drastically limit our time in development/research and offer solid solutions to our clients. Win/win/win.
It depends on the non-profit type and amount of work provided. Typically we look for some type of name branding, service recognition or advertising.

In the past we have used 37signals products (yay) and Trello (meh). We currently use a combination of HubSpot CRM (sales/leads), Asana (project management) and an old fashioned Google Spreadsheet (track services offered, performed, etc.)
