You should do a deep dive into your expenses at least once a month. Preferably, you would do it every week but I do understand that you may not have time. The problem is most business owners never look at their expenses until the end of the year. They don't keep up with their bookkeeping needs on a monthly basis. They just hand everything to their accountant at the end of the year and have no idea what to expect. Reviewing your expenses monthly allows you to tax plan more effectively as well. It is very hard to change anything once it has already happened. You must be proactive when it comes to your books. Otherwise, you have no right to complain at tax time!

Update on the Paycheck Protection Program:
Important information on the Paycheck Protection Program (PPP) that was recently passed as part of HR 748 CARES Act....
PPP loan is applied for through an approved bank. Call your bank and find out if they are an approved SBA bank.
The loan is backed 100% by the SBA.
Must have been in operation 2/15/2020 and had employees or 1099-Misc contractors.
Loan maximum $10 million or 250% (2.5x) average monthly payroll costs for the year before the loan is made plus any EIDL made 1/31/2020 or after that is refinanced under PPP.
Payroll costs include salaries, wages, commissions, vacation, sick time, group health premiums, retirement plan benefits, state & local payroll taxes.Money received from loan can be used for payroll costs as described above, mortgage interest, rent, utilities (electricity, gas, water, transportation, telephone, internet access), interest on equipment loans. All of these costs must have been in force before 2/15/2020.
You are going to have to prove these costs for the loan to be forgiven.
There is no personal guarantee or collateral required.
There are no fees charged for the loan.Interest rate is capped at 4% for a maximum of 10 years on any unforgiven amounts
.Loan payments are automatically deferred for 6 months (up to 1 year).
No prepayment penalty.Program expires 6/30/2020 - There is $349 billion allocated to this program!
This program is not live yet. Bookmark the link I provided and keep checking back. According to my banker, they should be ready to go around 4/6/2020 but that is just his best guess.
Start getting your finances in order now. You are going to need updated financial statements to apply for this loan. Figure out your 2.5x payroll costs.
Again, this loan can be forgiven and not taxable!!
You must not layoff your employees during the covered 8 week period (2/15/2020-6/20/2020) or you risk the loan not being forgiven.
I will update once I know more.

Hello Branden. When it comes to your books, you don't want to mess around. They are actually the lifeblood of your business. Without clean books, you have no real idea where your business stands. I would recommend that you hire an outside firm for a couple of reasons.
First, the outside firms are really good at what they do. Bookkeeping is more than just data entry as I think you have already figured out. They take care of of recording, classifying & reviewing all business transactions, reconciliation of bank and credit card accounts, setting up and reporting sales tax, Journal entries, month end procedures, etc...
Secondly, bookkeeping firms will generally cost you less. They are not considered employees. There are no payroll taxes paid for them. They are not entitled to any form of benefits. They will get the job the job done quicker and more accurate so that your accountant has to do less work come tax time.
Bookkeeping is not as easy as everyone thinks. If you don't know what you are doing, you can do more harm than good. A professional bookkeeper's focus is always on bookkeeping. It is what they do. You will have peace of mind knowing that your bookkeeping is being handled by a professional that knows what they are doing. They can leverage their advanced knowledge of bookkeeping and accounting technologies to streamline your bookkeeping needs.
If you need some help, give me a shout. Always happy to help out.
