First off I would suggest serving Non -alcohol beverages that will go a long way toward keeping things congenial. I would announce that as the first premise of the part y to all concerned,If there are still enough people wanting to attend then, I would suggest that you structure it with some simple activities that will engage everyone in a positive manner. What is your company culture built on beside employment and products? Get some feed back from the attending group beforehand so they will feel their contribution counts. The money you will save on Booze could go towards real entertainment like a comedian, A simple duo or trio musical group that has a local following. Create a game with prizes that everyone can engage in that will bring the group together and show them how well they actually do work together Keep the spirit of the party Positive, with little to no "business" talk.Push the idea that the holiday is a sharing time and not necessarily an excuse to get plowed and disorderly as an excuse to express their angst with individuals, the company, politicians or the world at large. Happy Holidays ... and Good Luck

We prefer something that the prospect and client can put in their hands, look at and if necessary, file away for future reference

Your best bet is not to go down the Price lane.
You need to have referrals that these "prospects" can call and get feedback on the work you have done in the past.

Start building a book of referrals and images of the work you have done in the past and ask happy clients to write a short letter noting their satisfaction with your work
or suggest they go on line and recommend you on Yelp.com.
If you have a website... even better. they can go online and see for themselves (if they are calling from outside )Just be sure your referrals are ok with your clients calling them eh?
Your quality of work and professionalism is what sets your price. stick to that or your reputation could suffer in the long run because it might seem you are making up prices arbitrarily
Do they expect you to do less work for a lower price? I doubt it!!!
If they still press you for a discount offer them 3% for cash :) that will save you the credit card charges and will probably quiet them up or they will take the offer and you both will be happy

know who your prospective clients are first and foremost. Then determine what they like and don't like .Make your website Brain-dead simple to use and interact with and write copy that really speaks to them and relates to their particular lifestyle. If you can do that.. you'll find you will create a lot of appeal because they will recognize that your approach is unique to them. That's how you get their attention and their appreciation in the form of sales.
Ask yourself, what is the appeal of Starbucks? It's certainly not because their products are superior it's because they allow clients Free Wi-fI and to hang out and interact on a collective level. Herd-Instinct, coupled with a bit of snob value at being seen in line and able to pay with their iphone. it's cool and sooooo IN.
It's the old fashioned Malt shop re-invented and it still works!
