How We Got Started

I was working for another cleaning company as their office manager. My duties increased dramatically and I found I was doing the work and getting none of the recognition. All the sales staff and the employees wanted me to start my own business and wanted to work for me as they felt I was the one running the business and the owner was messing things up. Here we are...4+ years later and going strong!

Think outside the box, offer something different or in a different way, be very creative because when you get down to it, you are offering the exact same service that thousands of other companies offer and you have to follow the same legal rules that they do. Price?  Service? What make you different from all the other companies out there?

(more) We took over a commercial building that had the same cleaning service for over 20 years.  After a few months, one of the employees came up to the crew and said "Thank you for everything you do.  I have not had a sick day since you started.  I was off work at least 2 - 3 days per month when the old cleaning service was here." Yes, we insure all touch-points get taken care of and use only clean cloths and mops.  Never leave a dirty mop or re-use cloths.  Cross-contamination is a huge issue in this industry.  Our clients rely on us to provide superior service at all times and they notice it.

Company name, your name and your phone numbers, and your email address must be very clean and easily read.  Your logo (colour) is very important as the clients will probably looking through many other cards to find yours.  You must stand out for the client to find your card.  When the client calls, then you must sell him on quality, price and availability.  Sometimes less is more.

If you are doing residential cleaning, simply get their credit card information before doing any work.  Once the card is on file, you can take payment and send a coy of the paid invoice to them for each and every cleaning.   We also have a policy in place that if the client cancels within 12... (more) If you are doing residential cleaning, simply get their credit card information before doing any work.  Once the card is on file, you can take payment and send a coy of the paid invoice to them for each and every cleaning.   We also have a policy in place that if the client cancels within 12 hours prior to the service, there is a fee involved and we run it through on their credit card.  This is strictly our prerogative and if we choose to waive the fee, we can.  Emergencies need to be forgiven.  Sleeping in or forgetting that we are scheduled is not! If we have done a big job and the client refuses to pay for any reason, we take action within 45 days so that we can place a lien on their property.  In Canada, we don't have any other recourse.  After 45 days, you can't place a lien.  Small claims court or collection agencies are a joke! Most of these issues can be totally avoided by speaking directly with the client and laying out your terms: *Credit card on file and will be processed immediately. *Payment is due upon completion of the job, not net 30 days. *Payment in full within 45 days or a lien is placed on the property. Company policy. Commercial Clients are usually very trustworthy and keep their end of any contract.  If you are doing commercial cleaning, usually there are signs that the company is not doing well and you need to be on top of any outstanding invoices.  If you are not being paid, why are you still doing the work?  If you are supplying their consumables, take away their toilet paper.  That usually gets their attention and gets you paid immediately!  Ha!  Ha!

Depending on the service or product, I would get their credit card in advance.  Charge the credit card when the service is complete and send them the invoice marked paid.  Simply inform the client that this is a new, cross the board policy and that ALL clients now have their credit cards on file... (more) Depending on the service or product, I would get their credit card in advance.  Charge the credit card when the service is complete and send them the invoice marked paid.  Simply inform the client that this is a new, cross the board policy and that ALL clients now have their credit cards on file to improve the accounting system in your company.  If they refuse to give you their credit card information, let them know that you are accepting a 50% booking fee to guarantee their date and time as too many others have cancelled at the very last moment and that you are losing too much in down time.  Along with that, let all clients know that if they cancel their appointment within 24 hours of the scheduled time, there will be a service charge and that their credit card is required at the time of booking.   You need to be in the driver's seat and if you lose a few of these deadbeats, spend that time sourcing new clients to replace them.  If you can't be paid for your services, products or time, you will be going out of business. Make things happen, don't let things happen!

(more) Just Because the client has been with you for a very long time does not make them a great customer to do business with in today's market.  Ask yourself WHY they are a long time client.  Is it simply because they can't get the same level of service for the price anywhere else?  Is it because they are your friends?  Why do you feel that you need to keep giving service to this client?  That client prevents you from investing time and material into a profitable job.   Would this client support you if you were down and on the verge of closing your business?   Are they on a fixed income?  We certainly aren't! I need to cover my expenses:  wages, fuel, rent, taxes,etc.   As business owners and managers, it is our position to insure that our company is healthy and making a profit.  We are in business to make a living for ourselves and our employees. If this client is a charity case and you can use them as a "good will gesture", and the gesture is  acknowledged by others, go ahead and reap the benefits. Otherwise, it makes no sense to keep doing the service and not making money.  Spend your time investing in new, profitable clients.

NEVER use bleach.  Too many problems. As a cleaning professional, go to your supplier and use their recommendations, and follow the directions exactly.  Every supplier has a product that will correct the problem.   We use a commercial steamer that gets everything clean without using chemicals. ... If the dust bothers you, look for the reason behind the dust.  Maybe increasing the cleaning service to twice per week instead of once per week will help, but find out WHY there is dust in the first place. If all you can afford is one per week, maybe the prudent thing would be the change the filters and not the cleaning staff!  If your building is a 100 year old drafty barn maybe you should consider other options! There will always be dust; dust from everyday working in the space, dust from the warehouse doors being opened to a west wind blowing directly into the space, dust created from a dirty HVAC system or even from the cleaners not doing their job.  I agree with the others to check the work of the cleaning staff immediately after the service and insure that they are doing their job correctly, and then check your space 3 days later.  If the cleaners are not at fault, start looking for the source of the dust.  Are there open doors into the warehouse?  Is the HVAC system clean and operating correctly?  Are the employees doing their fair share to keep the building's housekeeping clean and tidy? Everyone is quick to blame the cleaning staff but very slow to do their part of keeping the building clean.  Employees leave doors open for "fresh air" or to have a smoke on the hush!  Are staff going to the kitchen area for their lunch break.  Bananas stink in an office trash can! Crumbs fall onto the floor and attract insects and mice.  Yogurt containers contaminate recycling.  Eating at the desk creates a huge amount of odors and crumbs.  The management want the office cleaned but fail to correct in-house problems that would result in better results all around.  Better mind set for employees who have had a break from their computer and a cleaner, fresher office space with no lingering odors. In today's economy, there is always someone offering to do the job cheaper, but can they do it better?  Administrative people spend vast amounts of time sitting at their desks, often on the phone.  While sitting there, their eyes roam the office.  They see the underside of the desk where last night's cleaners brought their small children with them and now there is yogurt smeared under the desk and small footprints on the underside of furniture.  They see where a vacuum cord has rubbed the corner and where the cleaners didn't quite get into areas with a vacuum.   Also in today's economy is the mind-set that cleaners are cheap and are at the bottom of the echelon.  If you pay good money for a quality service that maintains your building, cleans properly and you do not have to worry about it, is it a waste of money?  Or would you rather "cheap out" on a service that you, your employees and your clients are not happy with?  Personally, I do not want the headache of dealing with the issue of dust.

(more) Sadly, these are the things that most of us learned from our mothers and grandmothers (back in the day!) but with our "busy" lifestyles of 2018, people do not have the time to spend "teaching" their children the basics. They are too busy with keeping up with their peers. I totally agree that someone must take over the task of teaching manners and etiquette, simple cooking skills, how to sew on buttons, and how to clean (and recognize what clean is!). The school system does not recognize or want to be bothered to have classes on home economics. Big business is cashing in on ready made foods, disposable clothing and items, and are "teaching" this generation how they should feed, dress, and live. Since our young people don't even know the basics of balancing their cheque book, I think you are onto something HUGE. Go for it. And then franchize it nationally.

I have an Employee Handbook that we set up ourselves during the early days of our existence. It was not easy but certainly clarifies everything for the employee from handling paperwork, uniforms, appearance, and behaviour. It is handed out during the hiring process and must be signed that they... (more) I have an Employee Handbook that we set up ourselves during the early days of our existence. It was not easy but certainly clarifies everything for the employee from handling paperwork, uniforms, appearance, and behaviour. It is handed out during the hiring process and must be signed that they have read and understand to contents and agree to our rules of employment. They keep the book for reference purposes. We keep the signed document in their employee file. Employees can not say they "didn't know" or "no one told me". This book requires constant up- grading as our employee standards (government regulations) change or we see a need to add/change. These changes are usually implemented at a staff meeting so that everyone has the same opportunity to add to their book and re-sign that they have received the upgraded booklet. Employee booklets, staff meetings and all the other stuff that we do to insure all employees are aware of the rules and guidelines, takes time and effort but ultimately they are great tools when dealing with employees who do not like to fit our company image. I do not see how you can function without one!
